What are Dgroups?
Dgroups can be explained in different ways:
- As a place on the Internet where individuals and organisations in the development sector can come together and interact with one another
- As a place to find groups who are interested in the same topics in international development as you are
- As a starting point for fostering groups and communities in international development
- As an aggregation of online groups working in the development sector on various issues
- or, even as just a web site -www.dgroups.org- that is a joint initiative of organisations such as DFID, ICCO, IICD, OneWorld and UNAIDS
Simply think of Dgroups as an online platform offering tools and services that bring individuals and organisations together in the international development community.
What is the Dgroups vision?
We envisage Dgroups to be the open and synergetic platform of choice for people and organisations in the development community to participate in the dialogue, collaboration and knowledge sharing that promotes more effective human development.

Who can use Dgroups?
Staff of member organizations; as well as people and organizations who request groups from a member.
What is special about Dgroups?
Three things are very special about Dgroups:
- Dgroups attempts to bring international development groups together as an online community to facilitate dialogue among key stakeholders in international development.
- Dgroups offers tools and services for making this dialogue possible in a simple, non-commercial and private environment.
- By using email as the core of its operations, Dgroups is targeted specifically at non-profits and low bandwidth users in the South, making it easier for their voices to be heard.
Where is Dgroups?
Dgroups has its online home at http://www.dgroups.org. This web site houses all the Dgroups formed by its participating member organisations.
How do I create a Dgroup?
First, you need to contact a Dgroups partner or member organisation. Try any of the people in this list.
When contacting one of the organisations, please provide the following information:
- What is the topic of discussion?
- Is there a goal or set of objectives of the group?
- What is the status of the group formation (is it already formed or will it be built gradually)?
- Is there a facilitator identified?
I am interested in joining the Dgroups partnership. Where can I find more information?
Dgroups, established as a partnership in 2002, is financially supported and managed its members. Organisations joining Dgroups normally seek a tool that they and their partners can use. They are also committed to supporting Dgroups as a global public good that can help groups and communities work together more effectively. We expect all Dgroups partners to subscribe to the wider goals of Dgroups and to work towards the sustainability of the Dgroups initiative as a whole.
We welcome requests from organisations working in international development cooperation, human rights and the quest for global justice to join Dgroups.
Organisations can apply to join the Dgroups partnership. Once accepted, we provide a customised 'skin' which reflects the preferred look and feel of the member's Dgroup discussion spaces. Members can create an unlimited number of Dgroups and gain access to top-level support. They also have a significant opportunity/responsibility to shape Dgroups strategy and direction. Membership is set at $US 5,000 per 12 month period.
Why would my organisation want to join Dgroups?
- Dgroups is specifically oriented to the needs of international development aid: low bandwidth friendly, mailing list centric, discussions on development related issues, and training/help materials which are geared towards the development community.
- Dgroups is a growing community of communities. Through the Dgroups interface, users can connect with 86911 Dgroups members in 2271 groups working in development and related fields.
- Dgroups is backed by a growing partnership of leading development organizations. Drawing expertise from partners and members, its activities are close to state of the art (technically) and they often spill over into other forms of cooperation.
- Members can have customised skin(s) which provide seamless 'look and feel' integration with the organisation's existing web service.
- Dgroups is completely free from advertising.
- Dgroups is an easy to use platform which supports interaction between groups and communities that don't need (or want) the 'bells and whistles' of a sophisticated CMS.
- As a continually-updated service that gets better the more people use it and which aims to create network effects through an 'architecture of participation,' Dgroups is particularly aligned with the emerging Web 2.0 vision (see: http://radar.oreilly.com/archives/2005/10/web_20_compact_definition.html and/or http://en.wikipedia.org/wiki/Web_2.0).
If you wish to further discuss joining Dgroups, please send a short email outlining your interests and questions to 'dg-coordination AT dgroups.org' (replace ' AT ' with @). We will get back to you immediately. If our interests coincide and there are no hitches, you can expect to join us in a month or two.
I have a question that is not answered in this FAQ. Who do I contact for help?
- If you are experiencing problems related to your membership or have questions related to specific content or postings of your Dgroup, please contact your Dgroup's administrator at listname-owner@dgroups.org (replace 'listname' by the name of your mailing list -- example: if your Dgroup's mailing list address is education-india@dgroups.org, then the listname is 'education-india' and to contact the administrator send an email to education-india-owner@dgroups.org).
- If you are experiencing a technical problem and only a technical problem with the Dgroups system or a specific Dgroup, please contact dg-admin AT dgroups.org. To help us troubleshoot your problem, we would welcome the following information:
- the date/time you encountered error (so we can check the error log)
- the URL you were at when you encountered the error
- what you were doing when you encountered the error
- if you inputted any form values, what were they?
- what operating system and browser were you using
Technical Difficulties
I see the message: "We're sorry, it appears the web page you are trying to access is having some difficulty processing your request. Please try again later or visit the Dgroups Help, and we apologize for any inconvenience.". What went wrong?
This is just as it appears -- it is a generic error message for which there are numerous types of causes. Close to 100% of the time, this is not caused by an error on the user's part, but is a system internal error. In this case, we ask that you contact the administrators of your workspace and supply the following information:
- the date/time you encountered error (so we can check the error log)
- the URL you were at when you encountered the error
- what you were doing when you encountered the error
- if you inputted any form values, what were they?
- what operating system and browser were you using
I'm encountering technical problems with Dgroups. What do I do?

I've received a blank message or a message with "garbage" or "strange" characters. What happened?
This is commonly due to the situation that the sender of the message is sending messages as base64 encoding (more specifically with Content-Transfer-Encoding: base64) without specified MIME boundaries found in the header of the message. If no boundaries are specified, then it is unknown where to start and stop decoding the encoded message, so the message appears in its encoded format (which appears to be "garbage" text). This situation is encountered most frequently by users sending messages from the Microsoft Exchange web-based mail client.
In this case, notify your list administrator (see How do I contact the administrator/moderator of my Dgroup?), inform them of this situation. Ask that they contact the sender of the messages so that the administrator can recommend that the sender refrain from using the mail program causing the described situation.

I was unable to send a message with a file attachment to a list. What is the reason for this?
Unsuccessful delivery of a message to a list could be attributed to 2 different reasons:
- Certain file types are not allowed as attachments to list messages, as they have been known to spread viruses. They are the following: .exe .com .vbs .pif .bat .dll .bas .cmd .hta .inf .ins .isp .js .jse .msc .msi .reg .scr .sct .vb .vbe .wsc .wsf .wsh
- The attachment was too large. By default, the maximum size any message can be (including the attachment) is 500k. If anything is larger than that, you may want to instead post the document in the Resources section of your Dgroup (see How do I add a document, link, or news item to a Dgroup?).
I've received a message regarding an "unallowed attachment file type" in a message which I sent, however, I did not send a message with an attachment of the listed types.
This is usually caused by one of the following two possibilities:
- You are infected with a virus that is sending messages from your email account (without your knowledge) to known email addresses (usually found in your email address book).
- -OR- Someone who has your email address and the list email address in their address book is infected with a virus which is sending messages with your email address specified as the sender to the list address.
In both cases, the virus email contains an attachment with a banned file type.
I sent a message to a couple of groups in the same time, it did not go through and I did not receive any reply from the system. What's happened?
You can only send a message up to 2 groups at the same time. As part of our ongoing effort to fight against spam, we decided to NOT allow a single message sent to 3 (or more) groups at the same time. The threshold was concluded from long time monitoring on spam sending pattern. Such restriction was implemented on Anti-spam Firewall. Since most of such messages are sent from spammer, we also decide the firewall will drop the message quietly without any notification back to sender.
Membership
How do I join a Dgroup / add myself to a list?
One of 2 ways:
- Visit the 'Join' link of the Dgroup. This can be seen usually be seen either below the login screen of a closed group, or somewhere near the top right or left of an open group (the location of the 'Join' link varies by Dgroup). After that, input your email address and follow the steps.
- -OR- Send a blank email to join-listname@dgroups.org (replace 'listname' by the name of the Dgroups mailing list).
You will sometime later receive a notification that you are a member of the Dgroup list. Please note that for some Dgroups, an administrator of the Dgroup must approve your request to join a list. In these cases, your membership to the group will not be immediate, but may take up to 2 days. Once your subscription is active, you will start receiving emails posted to the Dgroups discussion list.
How do I leave a Dgroup / remove myself from a list?
Send a blank email to leave-listname@dgroups.org (replace 'listname' by the name of the Dgroups mailing list).
Is it possible to see a listing of all the Dgroups of which I am a member?
Yes! To do so:
- Go to http://www.dgroups.org/admin/ and login.
- Take a look at the left-hand menu bar, under 'My Groups', there you will see a listing of all the Dgroups of which you are a member.
Note: The listing which you see under 'My Groups' may not be complete. If you have been added to a Dgroup mailing list through Lyris only (either through subscription by email or if you were added through the Lyris interface) and not through the 'Add Participant' or 'Join' functionality provided by Dgroups, then Dgroups may not know you are a member of a Dgroup.
In order for Dgroups to become aware of your membership, simply login to your Dgroup's interface using the password given to you by Lyris in your 'welcome message' which may be different from your regular Dgroups password. If you did not receive a 'welcome message', then try your regular Dgroups password or a blank password. To gain entry for all times after the initial login, you can use your regular Dgroups password.
The Dgroups technical team is working on a solution to ensure that Dgroups is always aware of your memberships.
I have sent a request to join a Dgroup 2 or more days ago, but am still not a member, what do I do?
Administrators of closed Droups receive requests to join through their email. Sometimes it happens that those requests get lost in their pile of email and these requests go unattended. If you have received no confirmation after 2 days, then re-send your join request. Note that after 7 days has passed, your request to join will have expired and it will not be possible for administrators to attend to your request.
I was denied access to join a Dgroup by an administrator, can you tell me why?
Administrators have their own reasons for denying users access to their Dgroups. They base these reasons on criteria such as:
- if they believe that your participation is not appropriate (see How do I find out if it's appropriate that I join a certain Dgroup?)
- if they believe that you will send inappropriate content to the list (such as spam)
- if they believe that you will contribute negatively to the discussion
If you believe you have been wrongfully denied access to a Dgroup, please contact the list administrator (see How do I contact the administrator/moderator of my Dgroup?).
I was removed from a Dgroup list without requesting to leave, what happened?
One of 2 things could have happened:
- As odd as this sounds, an email address collecting agent has sent spam to the Dgroups mailing list administrator as a leave request on your behalf (thinking that it is sending spam to a real email address, but it in fact unsubscribes you from the list).
- Your email server continually rejects messages from the Dgroups mailing list -- if this happens for a lengthy period of time, you will be unsubscribed from the list.
How do I find out if it's appropriate that I join a certain Dgroup?
To find out this information as well as other basic information about a Dgroup, follow these steps:
- If the group is open (you can access the discussion without loging in):
- within your Dgroup, click on the 'Discussion' menu bar
- click on 'Discussion Details' (top right)
- under the heading 'Membership' you will see a brief description of the members of the Dgroup
- -OR- If the group is closed (you need to login before you can access the discussion):
- send an email to the administrator of the Dgroup (see How do I contact the administrator/moderator of my Dgroup?) asking for this information
How do I contact the administrator/moderator of my Dgroup?
Send an email to listname-owner@dgroups.org (replace 'listname' by the name of the Dgroups mailing list)
I have a new email address which I can't edit in my Dgroups profile, how do I change it?
Unfortunately you can't change it, but what you'll need to do is unsubscribe yourself with the old address (see How do I leave a Dgroup / remove myself from a list?), and subscribe yourself with the new address (see How do I join a Dgroup / add myself to a list?).
My email address changed, but I cannot unsubscribe myself because the registered address is no longer available. What do I do?
Due to these circumstances, you cannot leave a Dgroups list in the conventional manner. In this case, contact the Dgroups list administrator (see How do I contact the administrator/moderator of my Dgroup?) and ask them to remove you from the list.
Do I have to pay any fees to use a Dgroup?
No, being a participant of one or many Dgroups is free of cost.
Gaining Access to Dgroups
I forgot my password, what do I do?
It is possible to retrieve your password. Below every login screen, there is a 'Retrieve a password' link -- here you enter your email address and your password will be emailed to you.
I'm having troubles logging into a Dgroup, what do I do?
There are 3 possible response messages you could have seen:
- if you see "The username and password combination you have entered does not match with any users in our database. Please try again." then you are incorrectly entering your email address and/or password. If you are unsure of your password, see How do I retrieve a forgotten password?. If you are sure of your email address and password combination, try typing your password out where you can check it and copying it into the password field.
- if you see "You do not have access to this workspace." then you are not a member of the Dgroup.
- if you see "Your subscription request will not be activated until an administrator approves it." then you have recently requested to join this Dgroup, but the administrator(s) of the Dgroup have not yet approved you (see bottom of answer to How do I join a Dgroup / add myself to a list?).
Why is it that some Dgroups require me to login to view content and/or contribute content, while others do not?
There are 4 permissioning options dealing with who can view and who can contribute content to a Dgroup:
- Must be a member of the Dgroup to view content and must be a member to contribute content.
- Must be a member of the Dgroup to view content and you need not be a member to contribute content. (Yes, this one theoretically does not make sense.)
- You need not be a member of the Dgroup to view content and you must be a member to contribute content.
- You need not be a member of the Dgroup to view content and you need not be a member to contribute content.
Messages
How do I send a message to a Dgroup list?
There are 2 ways:
- Through your email client, send messages to listname@dgroups.org (replace 'listname' by the name of your mailing list). This will send your message to all member of your Dgroup. If you are unsure about your listname, follow the following steps: From your Dgroup, click 'Discussion' in the menu bar, then 'Discussion Details' in the top right. You will find out your listname and more.
- While visiting your Dgroup, click on 'New Message' and follow the steps to post a message.
How do I reply to a message on a Dgroup list?
There are 2 ways:
- Through your email client, simply hit 'reply' to a Dgroups mailing list message.
- While viewing the message in your Dgroup, complete a reply in the form provided at the bottom of the screen.
Can I delete messages that have been sent to a Dgroup list?
No, once a message is sent to the list, you cannot delete it. This works the same as with regular email (your can't delete an email you sent or prevent its delivery to someone else).
I sent a message to a Dgroup list, it appears in the Dgroups message list, but it has not been received by the list (some list members have not received it). What happened?
Occasionally, the email server(s) used by the recipient(s) of the message is(are) having problems, so the message will not get delivered right away. The Dgroups mailing list system will try sending it 8 times following the 1st failure over the course of 3 days.
I sent a message to a Dgroup list, but it has not been received by the list and does not appear in the Dgroups message list. What happened?
This could be caused by either:
- The list is moderated (in which case messages need to be approved by an administrator before they are sent to the list), and your message is waiting for an administrator to approve or reject your message.
- The message did not properly get sent from you (i.e. your email server did not properly deliver the message to the Dgroups list).
- The message was rejected by the moderator, but the rejection notification did not get properly sent to you (i.e. the email server of the administrator did not properly deliver the rejection notification or your email server did not properly receive the rejection notification).
Why did I receive the same message from a Dgroups list 2 or more times?
There are 2 possibilities:
- There is mis-communication between the Dgroups mailing list system and your email server -- the Dgroups mailing list system thinks that your email server has rejected the sending of a message when in fact it gets properly delivered to you, so it keeps trying to send the message.
- The Dgroups mailing list system is experiencing technical difficulties.
How can I change my setting so that I receive only a daily mail digest or a daily index of a Dgroups list?
- To receive a daily digest (receive all the daily messages in one email):
Send an email to lyris AT dgroups.org with
set listname digest
in the body of your message (replace 'listname' by the name of your mailing list -- example: if your Dgroup's mailing list address is education-india@dgroups.org, then the listname is 'education-india' and the body of your message will contain 'set education-india digest').
- To receive a daily MIME digest (receive all the daily messages in one email in MIME format in which each message is received as an attachment to the email):

in the body of your message (replace 'listname' by the name of your mailing list -- example: if your Dgroup's mailing list address is education-india@dgroups.org, then the listname is 'education-india' and the body of your message will contain 'set education-india mime digest').
- To receive a daily index (receive a daily index of the subject lines of the messages of the day -- you can then request specific messages or view them in the Dgroups messages interface):

How can I change my setting so that I receive no mail from a Dgroups list, yet remain a member?
This is useful if you are going to be away from your email for extended periods of time.
To receive no mail from a Dgroups list (don't receive list contributions to your email address -- you can view messages with the Dgroups messages interface):

set listname nomail
in the body of your message (replace 'listname' by the name of your mailing list).
I currently am receiving a daily digest or index, or no mail from a list. How do I change my setting so that I receive all messages from a Dgroup list as they are contributed?

in the body of your message (replace 'listname' by the name of your mailing list).
Recently I found some messages came with a prefix as [BULK], what's that?
The prefix was added by Dgroups Barracude Anti-Spam firewall for those messages which are very likely to be spam. The Anti-Spam Firewall evaluated each incoming message and gives a score to it based on internal spam rules and extra rules defined by Firewall Admin. The Firewall blocks any messages which score is higher than "Block Score", and put a prefix [BULK] on those messages higher than "Tag Score" but lower than "Block Score", and keep messages intact if their score is lower than "Tag Score".
If you happen to see a lot of messages in your inbox or waiting for moderation,it might be a painful process to read each of them to determine whether it is a spam or a legitimate message. For now, it should be quite safe to treat them as spam (more than 99% of such messages are spam according to my experience.)
What are the words disliked by Lyris?
Lyris does not like certain keywords since they are indicators of those auto-replied messages. Right now it does like the following keywords

How do I add a document, link, or news item to a Dgroup?
Depending on whether the Dgroup is open or closed, you will have different access rights when contributing content (see Why is it that some Dgroups require me to login to view content and/or contribute content, while others do not?).

Calendar
When I click to view my Dgroup's calendar, I see the message "Invalid Calendar ID". What happened?
When the Dgroup was first created, it was created without a calendar. This happens when the Dgroup skin (the menu and header component) does not link to a calendar. Since the Dgroup's creation, the skin has been changed to one that does link to a calendar, however a calendar does not exist for this particular Dgroup, hence there is an error message. Notify your administrator of this problem when you encounter it (see How do I contact the administrator/moderator of my Dgroup?).
How do I add an event to the calendar?
Depending on whether the Dgroup is open or closed, you will have different access rights when contributing content (see Why is it that some Dgroups require me to login to view content and/or contribute content, while others do not?).
While viewing the calendar within a Dgroup:
- Click 'Add an Event'.
- Complete as much information as possible, but note the required fields in red: Event Title and Start Date.
- Click 'Add' at the bottom of the form.
Note: Events which occur over several days will unfortunately only display themselves on the first day of the calendar in 'Show Calendar' view.
